    This policy explains what information Hello Alex handles, why we use it, when it may be shared, and the controls available to you.

    Scope and information we collect

    This policy applies to the Hello Alex website, account applications, and AI-assisted communication services. It covers information that customers, users, callers, and website visitors provide or generate when using those services.

    • Account and business details, such as names, email addresses, phone numbers, company information, and login activity.
    • Payment and subscription details. Payment card information is handled by Stripe; Hello Alex receives transaction and billing records rather than full card details.
    • Call, message, scheduling, intake, recording, transcript, and workflow content when a customer enables those features.
    • Support messages, survey responses, and other information you choose to send us.
    • Technical and security data, such as IP address, device and browser information, timestamps, request logs, and error records.

    How we use information

    • Provide, secure, support, and maintain the services requested by customers.
    • Route communications, perform configured workflows, and present account records and analytics.
    • Process subscriptions, usage charges, and related account administration.
    • Respond to support requests and communicate service or policy changes.
    • Detect abuse, investigate incidents, debug errors, and improve reliability and product experience.
    • Comply with legal obligations and enforce applicable agreements.

    Customer content and callers

    Business customers decide which information their workflows collect and are responsible for providing notices and obtaining any consent required for call recording, messaging, marketing, or other processing. If you interact with a business that uses Hello Alex, that business may be the primary point of contact for requests about its customer records.

    Hello Alex processes customer content to deliver the configured service and for related security, support, and reliability purposes. Customers should not submit sensitive or regulated information unless their use of the service and contractual arrangements support it.

    Cookies and tracking

    Necessary cookies support security, sessions, preferences, and your consent choice. Optional analytics and attribution are disabled unless you choose Allow optional cookies in our consent notice.

    When allowed and configured for the site, optional tools may include Hello Alex first-party usage analytics and live-presence events, Google Analytics or Google Ads, Microsoft Clarity, Meta Pixel, campaign parameters, and affiliate referral attribution. These tools may receive page, device, interaction, and referral information under their own service terms.

    Your choice is stored for 180 days in a host-only consent cookie. Choosing Necessary only prevents optional tracking and clears optional Hello Alex browser identifiers and attribution values. Embedded widgets do not load the marketing consent banner or optional marketing trackers through it.

    Sharing and service providers

    We may disclose information to infrastructure, communications, payment, support, analytics, and other vendors that help operate the services; to integrations a customer chooses; or to professional advisers. We may also disclose information when required by law, to protect rights and safety, or as part of a corporate transaction.

    The providers involved depend on the features and integrations a customer enables. Customers should review their own provider and integration settings before sending data through a workflow.

    Retention and deletion

    Retention varies by record type, account settings, operational need, and legal requirements. Account, billing, security, and support records may follow different schedules from calls, recordings, transcripts, or analytics events.

    Customers can use available account controls or contact support to request deletion. We may retain limited records when needed for legal obligations, fraud prevention, dispute resolution, backups, or enforcement of agreements.

    Your choices and privacy rights

    Depending on your location and relationship with Hello Alex, you may have rights to request access, correction, deletion, portability, restriction, or objection. We may need to verify your identity and may direct requests about a business customer's records to that customer.

    You can change optional website analytics at any time through Cookie settings. Account communications may include separate unsubscribe or preference controls where applicable.

    Security

    We use administrative, technical, and organizational measures intended to protect information, including account controls, monitoring, and service-provider safeguards. No internet service or storage system can be guaranteed completely secure, so customers should also protect credentials and configure access carefully.

    Changes and contact

    We may update this policy as services, providers, or legal requirements change. The date at the top identifies the current published version. Material changes may also be communicated through the service or account contact details when appropriate.
